Secure Access Content User Guide

 

Overview

The Secure Content Access feature in the Rapid Legal portal ensures that only authorized users can access your confidential documents and cases. This optional feature lets you mark specific content as confidential, adding greater security and protection. Once marked, you must log in with your Rapid Legal account credentials to view these secure items.

How does it work?

In the Rapid Legal portal, you may select a security setting offered by one of the following electronic filing managers (EFMs):

Here are step-by-step instructions for selecting Secure Content Access for courts that use JTI, FSX, and Tyler.

Step #1

For all Courts and EFMs

Login to the Rapid Legal portal and from the What would you like us to do? dropdown menu, select eFiling.

Step #2

For Courts that use JTI

Enter the case information then go to the Select County dropdown menu (see below) and select the county in which you wish to eFile.

Note: In this example, Los Angeles is selected in the Select County dropdown menu. Los Angeles Superior Court’s EFM is JTI.

After you select the county, the Additional Case Information box appears at the bottom of the screen (see below). Inside this box are two checkboxes. Check the box next to Confidential Case.

Please note: For courts that use JTI, Secure Content Access may only be applied at the case level and only for case initiation. This means all documents that are part of a case are protected, and you must login to the Rapid Legal portal to access them.

Step #2

For Courts that use FSX

Enter the case information then go to the Select County dropdown menu (see below) and select the county in which you wish to eFile. 

Note: In this example, San Francisco is selected in the Select County dropdown menu. San Francisco Superior Court’s EFM is FSX.

After you select the county, the Documents to Be Filed box appears at the bottom of the screen. Inside this box is a DOCUMENT SECURITY LEVEL dropdown menu (see below). Check the box next to Confidential Case.

Step #2

For Courts that use Tyler Technologies

When you make your selection in the Select County dropdown menu, the Documents to Be Filed box appears with a dropdown menu. 

Enter the case information then go to the Select County dropdown menu (see below) and select the county in which you wish to eFile. 

Note: In this example, Fresno is selected in the Select County dropdown menu. Fresno County Superior Court’s EFM is Tyler Technologies.

After you select the county, the Documents to Be Filed box appears with a dropdown menu labeled DOCUMENT SECURITY LEVEL (see below). Select Sealed, electronic.

Step #3

For all Courts and EFMs

Continue with the order and complete all the information as usual, then submit the order

Upon submission, the “Thank You” page appears (see below) and Rapid Legal automatically secures the order data you send to the court.

How to access your secure content after the order is submitted:

Method #1

After the order is submitted, you can access or view secure documents in one of the following three places in the Rapid Legal portal. 

Log into the Rapid Legal portal and navigate to: 

  • Manage Cases Click on order > Navigate to Documents Tab > Click on View under “Action” Column 
  • Pending Orders Click on order > Navigate to Documents Tab > Click on View under “Action” Column 
  • Recent Orders Click on order > Navigate to Documents Tab > Click on View under “Action” Column

Method #2

Open the Court Order Acceptance email that is automatically generated by Rapid Legal after an order is submitted (see below).

Find the document you want to access and click on the secure link. You will be given access to the document once you are logged into the Rapid Legal portal. If you are not logged into the portal, you will be prompted to login with your Rapid Legal account credentials and open in viewer.

Frequently Asked Questions

 

FAQ #1 Is Secure Content Access at the document level available for all courts?  

No, Secure Content Access may only be applied at the case level for courts that use JTI

FAQ #2 Can I access my secure documents directly from email links? 

If you are already logged into the Rapid Legal portal, yes, you may access secure documents directly from email links. You must be logged in to access secure documents. 

FAQ #3 Who can view a secure document after the Secure Content Access feature is selected? 

Anyone who can login to the Rapid Legal portal and has access to the document’s unique link or the confidential case may view a secure document.
